How to Set Up Business Email With Your Own Domain in Indonesia: Steps, Costs, and Two Things That Send Company Mail to Spam

Business email with your own domain takes two things: a domain the company controls, and a service to hold the mailboxes. Budget 30–60 minutes in one sitting, Rp300,000 a year for a .co.id domain, and Rp0 to Rp125,000 per person per month for the service.

What trips people up is rarely the steps. It is one setting in the middle of them: the MX record, which tells sending servers where mail for your domain goes. Get it wrong and nothing bounces. No error, no warning — the mail never arrives.

Decide This First: Mail Bundled With Hosting, or a Separate Service

This decision shapes everything after it. If your domain already runs a website, the hosting plan almost certainly includes mail — create the mailboxes in cPanel and pay nothing extra. That saving is real. But they share disk with the website, the spam filter is basic, and a bad day on hosting takes the mail down too.

On the other side are services built for mail alone. More per person, but the mailboxes are large, the filtering is smarter, and a website outage leaves them untouched.

Microsoft 365 Business sits in the same bracket as Google Workspace and makes sense if the office already pays for Office. Google discounts new Workspace customers for 12 months — budget at the standard rate anyway, not the promotional one.

How to Set Up Business Email With Your Own Domain: Five Steps

Order matters. Creating mailboxes before the MX record moves gives you empty boxes that never receive anything.

1. Confirm the domain belongs to the company, not to the vendor who built the website years ago. Open the registrar panel and read the registrant name and contact address. A .co.id registration is tied to company documents, so transferring ownership later is more paperwork than settling it now.
2. Sign up with the service you picked, then prove the domain is yours. Nearly all ask the same thing: paste one TXT record into the domain DNS settings. Five minutes, and it disturbs neither the mail nor the website currently running.
3. Change the MX record. Delete the old entries pointing at hosting and enter the ones your new service gives you. DNS changes take 15 minutes to a few hours to propagate. Do not delete the old mailboxes the same day — leave them a week.
4. Create the mailboxes, then test both directions. Send from the new address to your personal Gmail, and reply from that Gmail. Both ways, because inbound and outbound rest on different settings and break independently.
5. Add SPF and DKIM, migrate the old mail, standardise the signatures. Under 5 GB, an IMAP migration usually finishes overnight.

Two Things That Send Company Mail to Spam

Most setups skip this part, and the damage surfaces two weeks later — when a quote a customer swears never arrived turns out to have been sent.

Once you send invoices or quotes in volume from that domain, add DMARC too. It stops someone else using your domain name to defraud your own customers — the cheapest cyber security work available to you, at one DNS record and no subscription.

Do Not Build Mailboxes Around People

[email protected] looks sensible until Budi resigns. By then it is printed on brochures, saved in hundreds of customer contacts, and holding a marketplace account nobody can open.

The rule we use: one function mailbox for every door into the company — info@, sales@, finance@ — and personal mailboxes only for people who need their own identity. Marketplace accounts, banks, and providers get registered to function mailboxes, never personal ones. When someone leaves, you revoke one login instead of losing company history.

In our experience most offices of 5–20 people do not need a paid seat for everyone. Two or three paid accounts for the owner and finance, hosting mail for the rest, covers the first year.

That mix has a price: two panels to administer, two places passwords get reset, one person who must remember which is which. Where no such person exists, paying full price for one service beats the confusion that surfaces at every new hire.
