Automated invoicing for small business in Indonesia comes down to three routes, and the thing that decides which one you need is not the size of your company. It is how many invoices you send per month. Under 30, a spreadsheet with a template covers it and costs Rp0. Above that, ready-made apps run from free to Rp399,000 per month. "Automatic" gets used loosely. Three things genuinely run without you: sequential numbers that never collide, customer and price data you never retype, and the sending plus the due-date reminder. Deciding a discount, or deciding who gets credit terms, stays human work.
First count how many invoices you send a month
That number decides everything else. Count your busiest month rather than an average, because the busiest month is exactly where a manual process gives way.

Three hundred a month sounds far away until you do the arithmetic. A distributor billing 40 shops four times a month is already at 160.
The free route: automated invoicing in a spreadsheet
This one works when your invoices share a shape and your customer list is fairly stable. Four steps, and the first is the one people skip even though it decides whether the rest can be automated at all.
- Separate the data from the layout. One sheet holds customers and prices, another holds transactions. The invoice sheet only ever pulls from those two and is never typed into directly.
- Derive the number from the row, not from memory. Build it from year, month and row number in a formula column — INV-2610-0043, say. As long as the number is calculated, two invoices can never share one.
- Build one template, not one file per invoice. Design the sheet once, fill it from a selected transaction row, save the result as PDF. A folder holding 200 near-identical files means this route was only half built.
- Wire it to email. Google Apps Script can generate the PDF and send it to the address on that same row, reminder included, seven days before the due date.
The second route: a ready-made app
Once two people need to raise invoices at the same time, or you need a record of who changed what, the spreadsheet turns into a liability. At that point a subscription usually costs less than one mis-billed invoice discovered a month later.
Kledo runs a free-forever tier: one user, 1,000 sales invoices a month, 1,000 products. Most small businesses never touch those limits. Its paid plans open around Rp159,000 a month on annual billing. Mekari Jurnal sits a class above — Essentials at Rp399,000 a month and Plus at Rp899,000 a month, both priced annually, with training and implementation support included.
The line items underneath are what people miss. On Kledo an extra user is Rp69,900 a month, another 5,000 invoices of quota is Rp99,900, and having your invoice template designed to match your business is Rp349,900. Three small additions are enough to stop a "free" plan being free. Read the add-on list before you pick a plan, not after.
When invoicing deserves to be built
There is really only one strong reason: the figures on the invoice have to come out of a system already running — warehouse stock, a POS till, or the order app your sales team uses. If the reason is only that you want it to look better, that Rp349,900 template solves the same problem for far less.
Where the value genuinely sits in that connection — the invoice is raised and stock moves in the same instant — a purpose-built business application starts to pay for itself. For something that has to be maintained for years and wired into further modules, the work belongs with a software development firm rather than with a one-off build.
A building-materials distributor in Candi, Sidoarjo sends roughly 120 invoices a month to 40 shops. Its admin copied each one out by hand at about four minutes apiece, close to eight hours a month spent purely on transcription. Moved onto a single templated sheet with calculated numbering, the same work now takes 1.5 hours. One thing they had not predicted: at the end of the first month they pushed 130 invoices out in one morning, hit that 100-recipient ceiling, and the remainder did not go until the next day.
What is usually enough, and the free route’s hidden price
In our experience most businesses convinced they need their own billing system actually need two things: a sequence number that never repeats, and one place to see who has not paid. Both are available today at no cost.
But the free route carries a price that appears on no invoice of its own: nobody is responsible for maintaining it. When the person who wrote the formulas leaves, nobody dares touch the sheet, and six months later everyone is typing by hand again. A paid subscription trades a monthly fee for someone whose job it is to fix the thing when it breaks. For plenty of businesses that trade is the cheaper one.
