How to Spot a Reliable Software Development Company in Indonesia Before You Sign

You can tell a reliable software development company in Indonesia by things you can verify yourself within a week, not by the office or the wall of client logos. Past clients who will take your call. A quote broken down feature by feature. A down payment in the 30–40% range, not 70%. And a contract that says the source code and server accounts belong to your company. If all four check out, the rest usually does too. If a vendor dodges even one, you have your answer.

The checks below follow the order you will meet them in, from shortlisting vendors to signing.

Before the First Meeting: What You Can Check From Your Desk

Start with the portfolio. Ask for two or three projects similar to yours, then ask for a contact who actually uses the system every day, not just the owner who signed the deal. Call them. Ask one thing: when something breaks after go-live, how long before the vendor responds? That answer tells you more than any testimonial on a homepage.

Check the paperwork as well. A serious Indonesian vendor operates as a registered CV or PT and holds an NIB, the business ID number you can look up in the government OSS system. None of that guarantees good work. It does decide who you can hold liable if the project goes wrong.

Look at how long they have been operating and who is on the team. A five-person shop that has been running for six years is often a safer bet than a thirty-person outfit that opened last year.

In the Meeting: How They Ask Matters More Than How They Pitch

In the first meeting, notice who asks more questions. A team worth trusting digs into how you work today: who enters the data, which reports the owner reads every week, where the work gets stuck. They will also tell you that some feature can wait until phase two, even when that shrinks the size of their invoice.

Be wary of a team that agrees to everything and names a price before they understand the process. A number quoted fifteen minutes in will almost certainly change by month two.

Test Questions That Separate a Reliable Software Development Company From the Rest

Put these five questions to every vendor on your shortlist, in writing if you can, and read the answers side by side.

Reading the Quote and the Contract

A sound quote splits the work into modules, each with its own time estimate. That lets you cut features if the budget runs short, instead of haggling over one total figure with no idea what you are giving up. A single line reading "Stock management system: Rp60,000,000" is not a quote. It is a guess.

Payment terms say a lot too. A fair schedule looks like this: 30–40% up front, further instalments released after specific modules are delivered and you have tested them, and the final 10–20% on handover. A vendor asking for 70% before any work is shown is shifting nearly all the risk onto you.

Before you sign, make sure the contract covers the following:

1. The agreed feature list, attached as an appendix rather than "as discussed".
2. Transfer of rights to the source code and design once the final payment clears.
3. Server, domain and third-party accounts such as the payment gateway or WhatsApp API registered to your company.
4. A bug-fix warranty period with a stated response time.
5. Rates for work outside the agreed scope, so nothing surprises you halfway through.

Reliable Does Not Mean Big

In our experience, team size is rarely the problem on projects for small and mid-sized Indonesian companies. Trouble more often comes from large firms that win the deal through a sales team and then hand the build to junior developers who never sat in the first meeting. Ask who will actually write your code, and ask to meet them.

Small teams carry their own risk, though. If one person falls ill or changes jobs, a project can stall for weeks. So the question is not big or small. It is whether the code is documented and the project does not live in one person's head.

One last sign: a confident vendor does not mind you comparing their quote with someone else's.
